Changing Plans & Your Data
Changing your plan — whether you upgrade or move down to the free plan — never deletes any of your records or files. Your data stays exactly as it is, regardless of which plan you choose or when the change happens.
On the Free Plan
Nothing is selected for removal and nothing is deleted. Every patient you've recorded stays fully accessible, along with every file you've uploaded.
The free plan's limits apply only to adding new things, never to what's already there:
- The 200-patient limit affects only new patients. If your active patient count is already above 200, you won't be able to add a new one until it drops back below the limit. Your existing patients stay available the whole time.
- New file uploads are paused, existing files stay. You can still open, download, and work with every document, photo, and attachment you've already uploaded.
On the Clinic Plan
The Clinic plan gives you an unlimited number of patients, 100 GB of storage, and the advanced AI features. There's no deadline on your data — you can upgrade whenever it suits you, and everything you've recorded is waiting exactly where you left it.
Keeping Your Own Copy
Whatever plan you're on, you can take a full copy of your data with you at any time from Reports → Export & Download. See Exporting & Backing Up Your Data for the details.
Common Questions
Will downgrading to the free plan delete my patients?
No. Downgrading never deletes patients or files. The 200-patient limit only stops you from adding new patients while you're above it.
I'm over 200 patients on the free plan — what can I do?
Your existing patients stay fully accessible. To add new ones, either bring your active patient count below 200 or upgrade to the Clinic plan.
Is there a deadline to upgrade before I lose anything?
No. Your data is never at risk from any deadline. Upgrade whenever it makes sense for your clinic.
