Transferring a Clinic
A clinic transfer hands ownership of a clinic to another flow.vet user — useful when a practice changes hands or moves to a different account holder. Everything in the clinic comes along; only who owns it changes.
Starting a Transfer
From the clinic's Subscription page, choose Transfer Ownership and enter the email address of the flow.vet user who should receive the clinic. They have 7 days to accept the invitation, and the transfer only takes effect once they do. You can cancel a pending transfer any time before it's accepted.
The recipient must already have a flow.vet account. If they don't, ask them to sign up first, then send the transfer to that email.
What Comes With the Clinic
Everything. All patient records, documents, photos, appointments, and history stay exactly as they are — nothing is deleted or reset by a transfer. The new owner opens the clinic to find it precisely as the previous owner left it.
What Happens to Billing
Billing does not follow the clinic to its new owner:
- The clinic's paid subscription is cancelled when the transfer is accepted, so the previous owner stops being charged for a clinic they no longer own.
- The clinic moves to the Free plan until the new owner chooses to subscribe.
- When the new owner subscribes, they do so under their own payment details — the previous owner's card and billing history are never shared.
Because the clinic lands on the Free plan, its limits apply to adding new things only — see Changing Plans & Your Data. Existing patients and files stay fully accessible.
What Happens to the Team
- You (the previous owner) stay on the clinic as a Vet, so you keep access unless the new owner removes you.
- The new owner becomes the clinic's Owner, with billing and team control.
- All other staff stay exactly as they are — no one is removed by a transfer.
The Free plan normally allows a single user, but everyone already on the clinic keeps their access (the limit only pauses new invitations). Once the new owner subscribes to a paid plan, they can invite more team members again.
Common Questions
Will a transfer delete any patients or files?
No. A transfer never deletes anything. All records and files move with the clinic, fully intact.
Will I keep being charged after I transfer my clinic?
No. The clinic's subscription is cancelled when the transfer is accepted, so you stop being charged for it.
I have several clinics — does transferring one affect the others?
No. Each clinic is billed on its own. Transferring one clinic cancels only that clinic's subscription; your other clinics and their billing are untouched.
Do I lose access to the clinic after transferring it?
Not automatically — you stay on as a Vet. The new owner can remove you if they choose.
Does the new owner inherit my card or billing history?
No. The clinic moves to the Free plan with no payment details attached. The new owner subscribes under their own card if they want a paid plan.
