Improving Notes With AI

Summary
Clean up the notes you type into a record with one click — fix the spelling and formatting, keep your meaning, at no extra cost.

When you write a note in a hurry, Improve with AI tidies it up for you: it fixes spelling, grammar, and spacing, and lays the text out so it's easy to read later — without changing what you actually wrote. You stay in control the whole time: nothing is touched until you choose to apply it, and your original text is always one click away. It works on the free-text fields where you record real content — pet notes, medical exams, treatments, vaccinations, appointments, and the pet description.

Turning It On

Improving notes is part of AI Features. If you don't see the button yet, a clinic admin can switch it on under Settings → Enable AI Features. Once it's on, the button appears under the relevant text boxes for everyone in the clinic.

Where to Find It

Type your note as you normally would, then look just below the text box for the Improve with AI button. It wakes up once you've written enough to work with — a couple of words isn't enough, so it stays greyed out until there's a real sentence or two.

How to Use It

  1. Write your note, then click Improve with AI.
  2. A small panel opens and shows the cleaned-up version.
  3. Read it over. If you're happy, click Apply to drop it into your note; click Cancel to leave your text untouched.
  4. Changed your mind after applying? Click Restore My Original to bring your own words straight back.

You'll see one of three things in the panel:

  • A cleaned-up version — ready to Apply.
  • "Looks Great" — your note is already clear, so there's nothing to change. A small thumbs-up, and you carry on.
  • "Nothing to Improve" — the text is too short or unclear to work with yet. Add a little more and try again.

You Might Add

Now and then the panel shows a short You Might Add reminder — but only when something important is clearly missing, like a dose with no unit. It stays quiet the rest of the time; it won't nag you or pad your notes with filler.

Your Original Is Always Safe

Applying a suggestion never loses your words. flow.vet keeps the exact text you wrote before the change, so Restore My Original works even after you've saved and come back later. If you've edited the improved text and then hit restore, it'll ask you to confirm first, so you can't wipe out work by accident.

Greek and English, Your Terminology

Write in Greek or English — the note comes back in the same language, every time. It keeps your clinical shorthand, drug names, dosages, and numbers exactly as you typed them, and it won't reorder your sentences or invent findings you didn't record. Think of it as a careful proofreader, not a co-author.

A Note on Cost

Improving notes is included with AI Features at no extra cost. Use it as often as you like; there's no per-use charge and nothing is deducted from any balance — the same goes for AI pet and document summaries.

As with anything AI-assisted, give the result a quick read before you save — it's a polished draft, and you're still the one signing off on the record.

Common Questions

Does this replace what I wrote automatically?

No. Nothing changes until you click Apply, and you can undo it with Restore My Original. If you do nothing, your note stays exactly as you typed it.

Why is the button greyed out?

It only switches on once there's enough to improve. Keep typing — a sentence or two is plenty. After you apply a suggestion, it greys out again until you've meaningfully edited the note, so you're not re-improving the same clean text.

Will it change my drug names or numbers?

No. Terminology, drug names, dosages, and figures are preserved exactly. It only touches spelling, grammar, punctuation, and layout.
